Holding a date

The proposed workflow uses a 30% retainer to hold a date: A 30% retainer holds the date. The balance is due the day before the session. Until payment infrastructure and the agreement are active, no date can be held.

Moving a date

The proposed policy is: Move the date once, free, up to 48 hours before. Weather reschedules are always free and do not count. This wording will be reviewed with the contract before it is used.

Weather

The proposed operating rule is: If it rains, or the wind is over 15 mph, or it is below 35 or above 95 degrees, we move the session and you pay nothing extra.

Any final agreement will state who makes the call, how the forecast is checked, and what happens if the parties cannot find a replacement date.

Cancelling

The proposed cancellation treatment is: Cancel more than 14 days out and the retainer becomes a credit good for a year. Inside 14 days the retainer is kept, because the date can no longer be resold. It is not a current contractual promise and requires legal review before use.

Crowds and queues

You are never billed for time spent standing in a line. The session is scheduled so that we are not standing in one. The proposed route plan prioritises popular locations early, but it does not promise queue length, access, weather, or another person's behaviour.

Your photographs

The proposed offer includes full-resolution files and a print release. Copyright, gallery availability, backup, and delivery language will be written into the reviewed agreement before a client can rely on them.

Portfolio permission

A separate, optional portfolio-use release is being prepared for legal review. It will not be used until that review is complete. The planned release is opt-in, does not change the price, can be declined without pressure, and will require a parent or guardian where a subject is under 18. No client photograph will be published without the applicable written permission.

Delivery

Your gallery has a delivery date, agreed in writing before the session, on your booking confirmation. The delivery date and any gallery availability terms will be included in the reviewed agreement before a session takes place.

Problems and cancellations

Refund, reshoot, equipment-failure, and data-loss language has not yet completed legal review. It will not be implied or improvised after a customer has paid.

Transport

The planned service does not include client transportation. A route guide can describe walking time, but travel arrangements remain the client's responsibility.

Independence

Vinctura is not affiliated with, endorsed by, or authorised by The Pennsylvania State University. The required answer about commercial photography on University property has not yet been obtained in writing. Vinctura will not schedule paid campus sessions until that location and permission question is resolved.
